Setting Up Scheduled Navitas Digital Food Safety Reports via SFTP

Schedule reports to automatically send your Navitas Digital Food Safety (DFS) platform data via SFTP.

Prerequisites

Before setting up scheduled reports, ensure the following are in place:

  • SFTP Server Access: You must have access to an SFTP server, including the hostname, port, username, and password/SSH key.

  • Permissions: Your user account on the platform must have the necessary permissions to create and manage scheduled reports.

Step-by-Step Guide

The following steps detail how to set up scheduled reports for SFTP delivery:

1. Navigate to Report Scheduling

  1. Log in to the Navitas Digital Food Safety (DFS) platform.

  2. From the main dashboard, using the left hand side toolbar, navigate to the "Reports" section.

  3. Select the "Schedule" option.

  4. Select the “Create Schedule” option. This will launch the schedule report creator.

2. Configure Report Details

  1. In the “Name” field, set the report name. This will appear in the DFS scheduled reports area later on. Setting a clear name will help differentiate between scheduled reports.

  2. Using the “Hourly Temperatures Report” toggle, set the desired report type)

    1. If toggled to the off position, you are able to customise the desired report data and report delivery schedule.

    2. Toggling to the on position sets the data to a predefined hourly temperature report. This is a report covering appliance and food temperature data only.. This report is sent hourly.

  3. Set the delivery schedule of your data.

    1. The “send every” dropdown list will allows you to choose whether you would like to receive the data daily, weekly or monthly.

    2. The “send at” field allows you to set the desired time of delivery.

  4. The “Date range” dropdown list will allows you to define the date range of the data you wish to receive. Choose between yesterday, last 7 days, last 30 days, this month or last month.

  5. The “Weekdays to include” field allows you to further refine the report to include data only from specific days. For example, if you only wish to report on data recorded every Tuesday and Wednesday, ensure that just those tickboxes are checked, leaving all others blank. If you would like to receive all data, simply ensure that all boxes are checked.

3. Select the data you wish to receive

  1. Depending on your use of the platform, you can report on data captured in up to 7 areas

    • Suppliers

    • Staff

    • Cleaning Schedules

    • Check list

    • Compliance diary

    • Appliance Temperatures

    • Food Temperatures

  2. To include data in your report, ensure the the relevant tickbox is checked, leaving any data you do not wish to receive unchecked. For example the below image shows a report configured to receive supplier, staff, check list, compliance diary and appliance temperature information. This report will exclude cleaning schedules and food temperature data.

  1. You will notice that each data set contains sub sets of information you can choose to include or exclude. Using Food Temperature data as an example, you can select to receive data relating to specific services (EG Chilling, Cold Service, Cooking etc) or all services as well as compliant and/or non compliant temperatures. For example the below image shows a report configured to receive both non compliant and compliant data relating to Chilling, Cold service and Good in services, but excludes data relating to the cooking service.

  1. As always, if you would like to receive all data, simply ensure that all options are ticked.

4. File format

The file type you wish to receive can be defined using the “file format” dropdown, located in the “sending options” area. Clicking into the drop down will allow you to set the file type you wish to receive.

5. Set Up SFTP Delivery

  1. Using the "Send On" drop down list, found in the “sending options” area, select "(S)FTP".

  2. Enter your SFTP server details:

    • SFTP Username:

    • SFTP Password/SSH Key: Enter the password or upload the SSH key as required by your SFTP server.

    • SFTP Host: (e.g., sftp.example.com)

    • SFTP Port: (e.g., 22)

    • Directory: Specify the directory on the SFTP server where the report should be saved (e.g., /reports/daily_data/).

    • Public Key Enter the public key (if applicable)

6. Review and Save

  1. Review all the configured settings for the scheduled report, including report details, SFTP delivery information, and schedule.

  2. Once satisfied, click the "Submit" button located at the bottom of the screen

  3. The scheduled report will now appear in the “scheduled tasks” area of the DFS platform (Reports > Schedule > Scheduled Tasks).

6. Amending or deleting a scheduled report

  1. Using the left hand side toolbar, head to the scheduled tasks” area of the DFS platform (Reports > Schedule > Scheduled Tasks).

  2. Locate the desired report

  3. On the right hand side, select “more”

    1. To update the report, simply select “update”. Refer to instructions in steps 2-6 (above) to set the desired configuration.

    2. To delete the report, select the “delete” option.
