Registry User Guide

You can locate your Registry section on the left side of your compliance dashboard.

Registry - View Page

To look at the latest version of uploaded documentation, you need to press “View” from within the registry module on the left hand menu.

It will then list all of the uploaded items, and will show: the ID number assigned to the item; the date it was uploaded; who uploaded the item; the document name and type; the site name; the valid from and valid to date and the status of the item.

From here, you can press “More” next to one of the items, and can then either “View” or “Add comment”.

Pressing “More” and then “View” from the Registry “View” page will allow you to see the details of the uploaded item, you can also download or open the document from here.

Pressing “More” and then “Add comment” will allow you to add a comment and upload any further documentation to the existing time. Any new comments and documents will then link to the items timeline history. To view the timeline history, press “More” and then “View” next to the relevant item.

Registry - Archived Page

To look at older/expired versions of uploaded documentation, you need to press “Archived” from within the registry module on the left hand menu.

It will then list all of the previous versions or expired uploaded items, and will show the ID number assigned to the item, the date it was uploaded, who uploaded the item, the document name and type, the site name, the valid from and valid to date and the status of the item.

From here, you can press “More” next to one of the items, and can then either press “View” or “Add comment”.

Pressing “More” and “View” will allow you to see the details of the uploaded item, you can also download or open the document from here.

Pressing “More” and then “Add comment” will allow you to add a comment and upload any further documentation to the existing time. Any new comments and documents will then link to the items timeline history. (To view the timeline history, press “More” and then “View” next to the relevant item.)

Registry - Management info

To review the sign off status of each site, press “Management info” and then “Sign off status”.

It will then show you a table showing each site, how many items have been assigned, and how many of those items have been uploaded, and also the completion percentage.

To see a sites assigned list in more detail, press “More” and then “Details”

You will then be able to see each item name and it’s status.

To look at the item itself, press “More” and then “View”

You can then see the full upload details and access the document.

General Tips

  • Site Managers will receive an email notification when registry items have been assigned to their location.

  • Uploads of registry items must be completed by a Site Manager access level.

  • Registry items can be uploaded as a PDF or as a photo of the document.

  • Multiple documents can be uploaded to the same item, however you must only upload one item at a time. The expiration date can only be entered once and so each item is to be uploaded separately to ensure that the expiry reminder emails are accurate.

  • If an item is showing as “Under Construction” or “Incomplete”, this means that the Site Manager has not fully completed the upload process - they need to sign the item off for it to be fully uploaded. Please refer them to the training video or user guide which shows the full process.
